Canary Advisors is now hiring a part-time (1099) project manager to join the team. Estimating 30 hours/week with the possibility to go full-time in the coming months.

Compensation: $50/hour

Reports To: Director, Project Management & Implementation

ABOUT THE ROLE

Canary Advisors is a patient engagement firm dedicated to better aligning clinical development plans with patient wants and needs. As part of these efforts, we are looking for a highly organized and proactive part-time project manager to own day-to-day project operations across our client portfolio. This role suits someone with deep project management experience who can bring structure and judgment to a fast-paced, growing consultancy. This role requires someone who can operate independently, anticipate needs, and juggle competing priorities. KEY RESPONSIBILITIES

Project Management Leadership

  • Own project tracking across multiple concurrent client engagements - milestones, deadlines, deliverables, and risks. 

  • Manage and optimize the company’s project management system (Monday.com) to keep teams aligned. 

  • Drive accountability across task handoffs, ensuring deliverables stay on track.

  • Synthesize project status into clear updates for internal review and, as needed, clients. 

Email & Communications Support

  • Monitor and manage multiple email inboxes on behalf of clients.

  • Triage incoming messages, send standard responses, flag priority items, and route inquiries to the appropriate team member.

  • Develop and deliver monthly client reports.

Scheduling & Meeting Operations

  • Schedule client meetings, internal check-ins, and calls across multiple time zones.

  • Prepare and distribute meeting agendas ahead of scheduled sessions.

  • Attend meetings (virtual) and capture accurate, organized meeting notes.

  • Distribute action items and follow-up summaries within 24 hours.

  • Maintain a log of decisions and outstanding action items across projects in the company project management system. 

Research & Operational Support

  • Conduct light research on topics as requested (e.g., market data,  industry trends) and translate findings into client ready materials.

  • Support patient experience data collection work as needed: conduct key informant interviews, analyze qualitative data, and/or build surveys in data management platforms.

  • Assist with document preparation, formatting, and file organization.

  • Handle miscellaneous administrative tasks to support the team as needed.

QUALIFICATIONS

Required

  •  8+ years of experience in a project management role, ideally working in a fast-paced or consulting environment. 

  • Demonstrated ability to manage multiple complex projects and stakeholders independently. 

  • Exceptional organizational judgement and strong attention to detail.

  • Excellent written and verbal communication skills.

  • Proficiency with Google Workspace or Microsoft 365.

  • Comfortable managing multiple priorities and deadlines simultaneously.

  • Self-starter who can work independently.

  • Ability to work part-time hours on a set schedule during regular business hours. 

  • Experience with project management software (Asana, Monday.com, Trello, etc.)

Preferred

  • Experience with scheduling tools such as Calendly.

  • Strong research synthesis and written presentation skills.

  • Experience in the healthcare or biotech field.
